Administrative Assistant, Surety

We are seeking a highly organized and proactive Administrative Assistant to join our team in Portland, OR. In this role, you will provide essential support to our office, ensuring smooth daily operations and facilitating effective communication within the team. Your responsibilities will include managing schedules, coordinating meetings, handling correspondence, and maintaining records. The ideal candidate will possess strong organizational skills, attention to detail, and a positive attitude, with the ability to thrive in a fast-paced environment.
How You Will Contribute
• Act as the main point of contact for executives, facilitating communication with customers and team members.
• Manage and coordinate leaders' calendars to ensure effective scheduling for meetings, travel, and business obligations.
• Develop presentations and briefs independently, demonstrating a high level of initiative and creativity.
• Proactively monitor and track project milestones and deadlines for executive leadership.
• Represent the operations leader in communications when necessary.
• Arrange travel logistics, including booking flights and accommodations, and preparing detailed itineraries and agendas.
• Plan, execute, and oversee off-site meetings and events, making key decisions to ensure successful outcomes.
• Gather and analyze reports by researching materials, synthesizing relevant information for leadership review.
• Draft and route correspondence and official documents through appropriate channels.
• Create, implement, and manage expense reports and financial documents for leadership, ensuring accuracy and compliance.
Skills & Experience to Be Successful
• 3 or more years of experience as an Administrative Assistant preferred
• Basic understanding of insurance and business terminology
• Advanced understanding of Microsoft Windows, Office 365, Word, and Excel
• AMS360 experience or skills to learn software programs at an accelerated ability
• Exceptional telephone demeanor
• Must have excellent customer service and interpersonal skills
• Professional and courteous demeanor
• Maintain a high level of confidentiality
Pay Range
• $25.00-$29.00/hr
